Terms of use

Last updated 3 October 2026

These terms are the agreement between you and us whenever you use Zap Bill X, on a phone, on the web or on a computer.

Who we are

Zap Bill X is made and sold by Tech Conductor Technologies Pvt Ltd, a private limited company registered in India (CIN [CIN to be added], GSTIN [GSTIN to be added]), with its registered office at A04 RM Creation, Guwahati, 781025. In these terms “we”, “us” and “our” mean that company. “You” means the person using Zap Bill X and the business they use it for.

These terms cover the Zap Bill X phone app, the web app at zapbillx.com/app, the Windows desktop app when it is available, this website, and our cloud services (sync, Zap Cloud backups and AI features). Our privacy policy, refund policy and delivery policy are part of these terms.

By creating an account, starting a trial or buying a plan, you agree to these terms. If you don’t agree, don’t use Zap Bill X.

Who can use Zap Bill X

  • You must be at least 18 years old.
  • You must be using Zap Bill X for a business: your own, or one you work for or are authorised to act for. It is not meant for personal use.
  • If you set up a business in Zap Bill X, you confirm that you own it or are authorised to act for it, and that the business accepts these terms.
  • People you add to your business must also be 18 or older and follow these terms. You are responsible for what they do in your books.

Your account and its security

You sign in with Google, with a mobile number verified by a one-time SMS code, or by scanning a QR code with the phone app where you are already signed in. Google’s Firebase service handles sign-in. We never see your Google password.

  • Keep your phone, your Google account and your mobile number secure. Anyone who controls them can sign in as you.
  • Use the app’s PIN lock on devices other people can pick up, and sign out of the web app on a shared computer.
  • Give each staff member their own account and only the role they need. Remove people who leave.
  • If you think someone has used your account without permission, tell us at once at [email protected].

You are responsible for activity on your account and in your business’s books, unless it was caused by our failure to keep our systems secure.

Plans, trial and payment

Free trial

A new account gets a 30-day free trial of every feature for one business, with up to 2 people, 3 devices and 25 AI uses. No card is needed.

If the trial ends and you haven’t bought a licence, your books become read-only on every device. You can still view, search, print and export them, but you can’t add or change entries. We keep the copy on our servers for 12 months and warn you 30 days and 7 days before we delete it.

Lifetime licence

A Lifetime licence is a one-time payment for one business. It lets that business use the software’s features permanently, with up to 3 people and 6 devices. It includes the first year of Zap Care, starting on the day you buy. Each further business needs its own licence. Paid modules we add later, such as live GST filing, are sold separately.

Zap Care

Zap Care is a yearly plan for one business. It gives you sync between devices, the web app, Zap Cloud backups, 100 AI uses a month and priority support. Renewing adds a year from your current end date.

Zap Care does not renew automatically; we remind you before it ends. If you don’t renew, you get 15 days of grace. After that, sync and the web app pause. The phone and desktop apps keep working on their own and keep every change. When you renew, sync resumes and brings your devices up to date.

Add-ons

  • Extra person (yearly): Add one more staff member to a business.
  • AI pack (one-time): 500 more voice bills, bill scans or questions. Valid 12 months.
  • Extra business (one-time): A licence for another business, with its first year of Zap Care.

Prices and payment

  • Current prices are on our pricing page. Prices are in Indian rupees and exclude GST at 18%, which is added at checkout.
  • You pay through Razorpay. We never see or store your full card number.
  • We email a GST tax invoice for every payment. You can also download it in the web app under Plan & billing.
  • We may change our prices and plans. A change never affects a licence you have already bought. For Zap Care, a new price applies only from your next renewal after we have told you about it.
  • Launch offers and coupons apply only on the conditions shown with them.
  • Refunds follow our refund policy.

Your licence to use the software

While you have an active trial or licence, we give you a limited, non-exclusive, non-transferable licence to install and use Zap Bill X for the business it was issued for, within your plan’s limits on people and devices.

You may not:

  • sell, rent, share or transfer the licence, or use one licence for more than one business;
  • copy, modify, decompile or reverse engineer the software, except where the law expressly allows it;
  • get around the licence checks, plan limits or usage counts;
  • use Zap Bill X to build a competing product.

The software, its design and the Zap Bill X name and marks belong to us. Apart from this licence, these terms give you no rights in them.

Your data

  • The books you keep in Zap Bill X, including your parties, items, vouchers, invoices and reports, belong to you.
  • You can export them at any time: print them, export them to files or to TallyPrime, or download a backup. This keeps working after a trial or Zap Care ends.
  • We use your books only to run the service for you: to store them, sync them between your devices, back them up and run the features you use. We look at them only with your permission (for example, when you ask support for help), to keep the service secure, or when the law requires it.
  • Your books contain personal data about your customers, suppliers and staff. For that data your business is the Data Fiduciary under the Digital Personal Data Protection Act, 2023, and we process it on your behalf under these terms. You are responsible for having a lawful reason to hold it and for giving the people concerned any notice the law requires.
  • Each device keeps a full copy of your books. We still recommend keeping your own backups on Google Drive or in a file.

How we handle personal data is explained in our privacy policy.

Acceptable use

Don’t use Zap Bill X to:

  • make fake or misleading invoices, hide sales, claim input tax credit you aren’t entitled to, or break any tax or other law;
  • store data you have no right to hold, or send messages to people who haven’t agreed to receive them;
  • get into another business’s books or another person’s account without permission;
  • upload malware, probe or attack our systems, or overload them with automated requests;
  • copy our website or apps in bulk, or resell access to the service.

We may suspend access that breaks these rules, as described below.

Tax, accounting and AI results

  • We are not tax advisers, chartered accountants or lawyers. Zap Bill X is a tool and does not give tax or legal advice.
  • You are responsible for the correctness of the invoices you issue, the entries you make and the returns you file. Check figures, tax rates and HSN/SAC codes yourself, or have your CA check them.
  • Zap Bill X prepares GST files for you to upload. Until we connect a licensed GST Suvidha Provider (GSP), you file returns yourself on the government portals. We do not file them for you.
  • AI features (voice bills, bill scans, “ask your books” and HSN suggestions) can make mistakes. Check what they produce before you save it or rely on it.

Availability and updates

  • The phone app, and the desktop app when available, work without internet. Billing, reports and printing on a device don’t depend on our servers.
  • Cloud features (sync between devices, the web app, Zap Cloud backups and AI features) run on our servers and on services from other companies. We work to keep them running, but we provide them on a best-effort basis. They may be interrupted for maintenance, failures or reasons outside our control.
  • We update the apps regularly and may change how features work. Keep your apps up to date; an old version may need updating before it can sync.
  • Support is available by email, phone and WhatsApp, Monday to Saturday, 10 AM to 7 PM IST. Zap Care includes priority support. See contact us.

Services from other companies

Parts of Zap Bill X rely on others: Google for sign-in and notifications, Razorpay for payments, the government GST portals, and TallyPrime. Their own terms apply when you use them, and we aren’t responsible for their outages or changes.

TallyPrime is a trademark of Tally Solutions Pvt. Ltd. Zap Bill X is not made, endorsed or supported by Tally Solutions.

No other promises

Apart from what these terms say, Zap Bill X is provided “as is”. To the extent the law allows, we don’t promise that it will be free of errors or interruptions, or that it suits every business.

Limitation of liability

  • We are not liable for indirect or consequential losses, such as lost profit, lost business, penalties or interest on returns you filed, or data you could have restored from a backup.
  • Our total liability to you for all claims about Zap Bill X is limited to the fees you paid us in the 12 months before the event that led to the claim.
  • Nothing in these terms limits liability that the law does not allow to be limited, such as liability for fraud.

Indemnity

You will make good our losses, claims and costs (including reasonable legal fees) that arise because you broke these terms or the law, or from the data you entered or the invoices and returns you made with Zap Bill X.

Suspension and ending

  • You can stop using Zap Bill X at any time. Export your books first if you want a copy. To close your account and have your data deleted from our servers, write to [email protected].
  • We may suspend or end your access if you seriously or repeatedly break these terms, don’t pay, use the service for fraud, or if the law requires us to. Where we can, we will tell you first and give you time to fix the problem and export your books.
  • After your access ends, we keep and delete data as our privacy policy describes.
  • The parts of these terms about your data, liability, indemnity and disputes continue to apply after your access ends.

Changes to these terms

We may update these terms when our service or the law changes. The date at the top shows the latest version. We will tell you by email or in the app at least 30 days before an important change takes effect. If you don’t agree with it, you can stop using Zap Bill X and export your books before then. If you keep using it after the change takes effect, you accept the new terms.

Law and disputes

These terms are governed by the laws of India. The courts at Guwahati have exclusive jurisdiction over any dispute about them. Before going to court, please write to our Grievance Officer so we can try to solve the problem.

Grievance Officer

Om Prakash Mahato, [email protected]. We acknowledge grievances within 24 hours and resolve them within 15 days. Our other contact details are on the contact page.

General

  • If a court finds part of these terms unenforceable, the rest still applies.
  • If we don’t enforce a term straight away, we can still enforce it later.
  • We may transfer these terms to a company that takes over Zap Bill X, and will tell you if that happens. You may not transfer them without our written consent.
